EXECUTIVE / PERSONAL ASSISTANT to COO/Head of Sales, Midtown, NY
To $60K (d.o.e.) + 5% Bonus + Excellent Benefits + Growth
COO / Head of Sales of prestigious, established global diamond supplier / manufacturer (50+ years) needs a highly capable, confident, outgoing, experienced administrative/personal professional.
Position Summary
With almost 400 staff globally …. USA, Europe, Africa, Israel…….and 70 staff in NYC Corporate office, it is imperative for the Executive / Personal Assistant to interface with VIPs / important clientele, senior management , sales and operation staff members, vendors, etc. with the utmost discretion, professionalism, polish and confidence.
Essential for the Executive / Personal Assistant to act as an empowered ‘gatekeeper’, exercising sound judgment and proactive attitude…….capably anticipating Head of Sales needs and very busy travel schedule.
Duties / Responsibilities:
• Acting as primary contact for the company’s most important clients on a daily basis,
• On behalf of COO / Head of Sales, develop trust and strong communication relationships with company’s clients, etc.
• Ensure the efficient, immediate servicing of all the company’s important clients requests,
• Capably handle / manage setting work and client priorities on a daily basis,
• Effectively multi-task….. manage a number of diverse priorities and projects on a daily basis,
• Act as a very capable and efficient gatekeeper, without sacrificing professionalism, warmth of personality and demeanor,
• Effectively and efficiently anticipate all of the COO / Head of Sales’ needs and very busy work schedule,
• Effectively manage his calendar, phones, travel schedule, etc.,
• Generate and create excellent sales presentations, spreadsheets – PowerPoint and Excel,
• Quickly identifying any challenges and effectively implementing necessary problem-solving resolutions,
• Manage and process all travel arrangements, expenses, etc.
• Consistently monitor vendor relationships/expenses and ensure they are in tune with his needs and so forth,
• Attend company trade shows, client meetings / lunches and effectively assist Head of Sales with agreed company objectives,
• Assist in training newly-hired staff,
• Provide general administrative support to the sales department,
• Ensure his office runs very smoothly on a day to day basis,
• Demonstrate enthusiasm, commitment, high energy level, positive / confident attitude and outgoing, warm personality.
Essential Work Experience and Skills – a MUST:
• Min. 5 years’ administrative, executive &/or personal assistant to high-powered, busy but down to earth senior executive in a small to mid-sized entrepreneurial / family-owned company;
• Demonstrated confident, outgoing, type-A / warm, enthusiastic personality;
• Demonstrated 100+% commitment to achieve agreed objectives;
• Proven and demonstrated excellent organizational and top communication skills – oral & written ;
• Proven excellent management of priorities, deadlines without sacrificing quality of work &/or demeanor;
• Proven ability to work under pressure and effectively multi-task priorities / client deadlines;
• Demonstrated ability to effectively manage relationships with diverse range of important clients, vendors, staff, etc. on a daily basis;
• Proven ability to effectively manage and develop strong client and staff relationships;
• Demonstrated professionalism, polish, proactive demeanor ….always thinking ahead;
• Excellent and proven team player attitude/skills with ability to also work independently and with minimal supervision;
• Proven and demonstrated positive, flexible and down to earth attitude;
• Degree highly preferred.
Computer/Software Skills – a MUST:
• Excellent computer and software skills: Outlook, Word, Excel, PowerPoint, research, etc.
